Residents, we are aware that there is growing pains with changing processes that have been the same for years can be challenging. We appreciate your patience while we are continuing to fine tune the processes. These are the reasons why we made the change. We talked about these at our annual meeting, which was on Monday, April 22, 2024.

  • Payments:
    • We had parents not pay and had to consistently follow up with them.
    • Parents would pay mid-week.
    • 6 different forms of payment was too difficult to tract. We had Paypal, Zelle, Chase Pay, Cash, Credit Card, and Check.
    • Parents would show up to the town hall wanting to sign their kids up for camp. Not all the registrations were accounted for.
    • Going to an online only registration allows us to get full payment upfront.
    • We had parents say they are members of ODHA to get the discounted rate for summer camp but they actually were not. This simplifies the process for us to confirm that they are ODHA Members. If they are not, we will give them the option to pay for a membership or charge them the $50.00 more per week for summer camp. Members rate - $100, Non-members - $150, Per Week. There is a $50.00 discount for each kid that attends all four weeks of summer camp, which the software automatically applies, this was done manually before.
  • Waivers:
    • We now have a Code of Conduct Policy that is e-signed. We have had parents and/or students be rude to the Director, Counselors, and Jr. Counselors. ODHA has a ZERO tolerance Policy against bullying, disrespect, etc. This policy sets the expectation of how everyone should treat each other and allows us to hold parents/students accountable. If that issue continues, they will not be allowed to come back to the camp that week or up to not being allowed to attend summer camp at all in the future.
    • We have a standard hold harmless that is e-signed.
    • We have a medical release that is e-signed. This allows us to administer general first aid, which the director and all counselors are trained in. ODHA owes a huge thank you to the Ogden Dunes Volunteer Fire Department, who offers this to ODHA Summer Camp, free of charge. It allows us to have the student taken to the hospital if we are unable to get ahold of the parents/guardian. We collect medical information – Insurance and Doctor Information, Allergies, medication, physical limitations, emergency contacts, etc.
    • Photo release that is e-signed. We do not make money, nor plan to on photos, but this gives us permission to post photos to our Facebook page or send in emails, etc. Parents can reach out to us and ask for us to remove pictures of their kid(s). Which we will do.
  • Communication + Scheduling:
    • We can E-mail & Text directly from the Active Program easily and efficiently. This is used more for summer camp, as a reminder to bring something to class, or with weather issues and change of venue. With a couple clicks, the parents are aware. We no longer have to call each parent individually.
    • We are able to have automated emails reminding parents of summer camp, what to bring, special events, etc. This was done manually before.
    • We now have a cutoff date for registration. We had parents show up the first day of summer camp and try to register their kids. This stops this from happening. Allows the director to schedule staff accordingly.
  • Check in process:
    • We have an online check in portal that can be accessed from phones, tables and computers.
    • This gives all employees of the summer camp the ability to check students in, write notes in the students file, and people who have permission to pick up the kids.
    • Have access to all information that was given at sign in. Parents names, phone numbers, medicine, health issues, etc.
